How to Do Collaborative Design Right With Visme

The ability to make notes on areas that need changes or improvement can really help with team productivity and ensure that the final product is the best it can be.

What is Collaborative Design?

First things first, let’s cover the basics. What is collaborative design, and what does it mean for your team?

Collaborative design is a process of working on designs as a team, where designers, copywriters, marketers, team leads and more can create together and end up with the perfect outcome.

Visme has just launched its own collaborative design features to help teams and marketers work together to create stunning designs every time. Let’s go over what these features look like and how they can help your design workflow.

1. Invite users to view, edit or comment.

There are two different ways you can invite someone to access your design – via email notification or via link.

If you want to ensure that only specific people are able to view and make comments on your project, you’ll likely want to share it with them via email. They’ll receive an email notification with a link to view and give feedback on your design.

Alternatively, you can allow anyone with the link to view and/or comment on your design.

It’s important to remember that only Visme users on your team plan can be given edit access to your project to go inside and make changes themselves. 

Anyone else with a Visme account (regardless of whether you’re on a team plan or even if you have a free account) can add comments to any project they’re given access to.

2. Annotate specific areas of the design.

There are several annotation options available when commenting on areas of the design. You can find these at the top of the right sidebar in the commenting view of the project.

The available annotations include:

  • Pin: Drop a comment anywhere on the design.
  • Box: Drag your mouse to create a box around an area that needs to be addressed.
  • Circle: Drag your mouse to create a circle around an area that needs to be addressed.
  • Draw: Draw the changes you want to see with the marker tool.
  • Line: Drag your mouse to draw a line on the design.
  • Arrow: Use an arrow to point to an area that needs to be addressed.

You can also change the color of your annotations from red to yellow, green, blue, black or white, to ensure your notations show up clearly.

3. Tag collaborators in comments.

Mention people on your team in comments by typing @ before their name to notify them directly of any requested changes or edits that have been made.

These tags will send collaborators an email notification, and they’ll be able to click to view the design and make changes, add a response or resolve the comment.

4. Reply to and resolve comments.

Multiple team members can respond to a single comment in a thread to keep communication organized by simply replying in the text box below the initial comment.

Users can also resolve or even delete comments once they have been fixed and finalized.

Once the design is finalized, the initial creator is able to save it and share publicly with its intended audience.


How to Do Collaborative Design the Right Way

Curious how to effectively utilize these tools in your team without overwhelming anyone along the way?

We’ve put together a step-by-step process for collaborating on a design project within your team or company.

Step 1: Set roles in your team.

Your first step is going to be setting roles in your team so that everyone knows who needs to sign off on which types of projects.

While the marketing team might collaborate on marketing plans and social media graphics, your sales team will need to be more involved in your sales presentations and brochures.

Furthermore, you might have one person on the team focus on design edits while another person handles any potential copy edits that may need to be made.

That is exactly how we handle edits on the Visme team. During our template creation process, we have a head designer who makes comments on the design and a writer who makes comments if there are any errors in grammar or spelling.

Step 2: Share the project with the right team members.

Make sure everyone knows the correct team members to share the project with. They can choose whether to generate a shareable link and send it to the right people or send out an email notification.

In our case, we keep a dedicated Slack channel for template feedback to share links in before they get sent out for the final sign-off from the higher ups.

Step 3: Add comments and annotations.

Collaborators will select from the different annotation tools to make marks and leave comment explanations on what needs to be changed or moved.

Whether it’s color changes, copy edits, more spacing needs, different fonts or any type of design edit, teams can easily make requests with clear instructions. 

The comments will also be numbered in the order they were left on the canvas to help keep everything organized.

Step 4: Make edits and resend to finalize.

The initial creator will then receive an email notification that comments have been added to their design so they’re able to hop into the editor and make the requested changes.

Tagging collaborators will notify them that changes have been made so that any revisions can be worked out further or finalized.

Step 5: Resolve comments.

Once all changes have been made and the final product signed off on, resolve or delete all comments. Users can easily resolve comments by clicking on the comment or the number on the design and then clicking the check in the top right corner.

Step 6: Download and share.

Visme offers a variety of ways to download and share your projects. You can choose to share with a public link or embed on your site, or download the design as a JPEG, PNG, PDF, MP4, GIF, PPTX or HTML5.
